Experts Live – Privacy Policy

This Privacy Policy has been compiled to better serve those who are concerned with how their Personal Data is being processed by us. Personal Data, as described in the GDPR, is any information relating to an identified or identifiable natural person; an identifiable natural person is one who can be identified, directly or indirectly, in particular by reference to an identifier such as a name, an identification number, location data, an online identifier or to one or more factors specific to the physical, physiological, genetic, mental, economic, cultural or social identity of that natural person. Please read our Privacy Policy carefully to get a clear understanding of how we collect, use, protect or otherwise handle your Personal Data.

What is the GDPR?

The General Data Protection Regulation (GDPR) is a European Union directive approved by the European Commission in April 2016 (www.eugdpr.org). GDPR has entered into force on May 25, 2018 and has replaced the Data Protection Directive which has been the basis of European data protection law since 1995. The GDPR is an attempt to strengthen, harmonize, and modernize EU data protection law and enhance individual rights and freedoms, consistent with the European understanding of privacy as a fundamental human right. The GDPR regulates, among other things, how individuals and organizations may obtain, use, store, and eliminate Personal Data.

Introduction
Experts Live Netherlands (“We”) are committed to protecting your privacy. This policy explains how we collect, use, and share your personal information (“Personal Data”) when you attend our events and/or make use of our (online) facilities. 

Data Collection
We collect necessary (see Data Use) Personal Data from you such as your name, email address, phone number when you register for an event, attend an event, subscribe to a newsletter, fill out a form or enter information on our website. Details about our websites are covered later in this privacy policy.

We collect information about your participation in our events, such as session attendance, conference contest participation, conference session survey and session evaluation. 

The provider of our website automatically collects and stores information in logs, which are transmitted to us automatically by your browser. This information consists of: Browser type / browser version – Operating system used – Referrer URL – Host name of the accessing computer – Time of the server request. This data cannot be associated with specific persons. A combination of this data with other data sources does not take place. We reserve the right to retroactively check this data if we become aware of solid indications of unlawful use. 

By transmitting your Personal Data, you agree to your Personal Data being saved and processed for the indicated purpose when you Personal Data is recorded.

Data Use
We use your Personal Data to manage your registration; administer a contest or survey; provide you with event-related information and improve our events.

Data Sharing
We reserve the right to share yout Personal Data with our partners and suppliers that provide us with support in running our website or help us with our other business activities. However, these partners are obligated to follow the instructions provided by Experts Live Netherlands when processing and using Personal Data shared by us as well as to guarantee the adequate protection of all Personal Data.

  • In addition, Personal Data will be shared with third parties if  mandated by any statutory or regulatory requirements or a court order.
  • We will only share your Personal Information with other third parties with your explicit consent. This may include sharing your information with event sponsors or partners who may contact you with information about their products or services.
  • We will not sell your Personal Data to third parties.
  • We do not share Personal Data with other community groups.

Data Retention
If you sign up for a conference or event, we store Personal Data provided by you for a maximum of 13 months in order to track who attended events and to improve future event experience.

Answered surveys during the event will also be stored for maximum of 13 months to improve the future experience.

Personal Data regarding payment transactions will be stored by our payment processor, Stripe, to handle ticket cancellation and refund scenario.

You can request removal of their Personal, but you must also unfollow us on social media, as we do not remove members from those platforms.

Data Security  
Data transmitted over the Internet can be sent across borders, including to countries with less stringent data protection requirements than those in Europe, even if the sender and recipient are both located in Europe.  

Experts Live Netherlands assumes no liability for direct or indirect damage stemming from data transmission between event attendees, sponsors, speakers and Experts Live Netherlands.

We have taken security measures that protect all Personal Data from unauthorized access and safeguard the authenticity of the event as well as the integrity and  confidentiality of all Personal Data. Only those employees who need the required information will have access to your Personal Data. They are obligated to guarantee the confidentiality of all Personal Data . 

We store all Personal Data securely using SSL (Secure Socket Layer) on systems designated to retain information only as long as it remains valid.

Your Rights  
We care about your Personal Data and stand ready to address any requests made by our stakeholders (speakers, attendees & sponsors), related to their individual rights under the GDPR:

  • Right to be forgotten: you can contact us to delete your Personal Data and to remove all records we have on file. This does not include any Personal Data which by law we are obliged to keep.
  • Right to object: you can contact us to object to the processing of your data or request that we restrict its use. Additionally, you can contact us in any event where you feel your Personal Data has been used inappropriately and we will take the necessary steps to investigate these types of situations.
  • Right to rectification: you can contact us to inform us of any update(s) concerning your Personal Data.
  • Right of access: you can contact us at any time to request the Personal Data we have processed.

Changes to This Policy  
We may update this privacy policy from time to time. We will notify you of any changes by posting the new policy on our website and updating the effective date.

Run.Events
We use Run.Events  to handle our conferences

The platform allows us to do registrtation, interaction with attendees and provide us an event app for the event day.

Stripe 
We use Stripe as our payment processor during selling of tickets through Run.Events.

Stripe operates under different jurisdictions: 

  • Stripe, Inc.: For individuals residing in North America, Central America, or South America (excluding Brazil). 
  • Stripe Brasil Soluções de Pagamento – Instituição de Pagamento Ltda: For individuals residing in Brazil. 

Stripe Payments Europe, Limited: For individuals residing outside the regions mentioned above.

Sessionize
We use Sessionize to handle speaker-dialogue – including both initial submission of sessions (“Call for Speakers”) and event-related dialogue with speakers.

Microsoft 365
We use Microsoft platform for mail, event-planning, Teams-meetings.

WhatApp
We use WhatsApp for event-related information for speakers.

WordPress
We use WordPress as platform for our website (www.Expertslive.nl) and additional plug-ins needed for web-site functionality. Platform is hosted at our web-site hosting partner, TransIP in Netherlands.

Our web-site hosting partner has implemented firewall and security measures to prevent data loss and protect information.

We update plugins and WordPress platform on a scheduled basis.

Google Analytics 
We use Google Analytics, a web analytics service provided by Google, Inc. (“Google”).

Google Analytics uses “cookies”, which are text files placed on your computer, to help the website analyze how users use the site.

The information generated by the cookie about your use of the website (including your IP address) will be transmitted to and stored by Google on servers in the United States.

Google will use this information for the purpose of evaluating your use of the website, compiling reports on website activity for website operators and providing other services relating to website activity and internet usage. Google may also transfer this information to third parties where required to do so by law, or where such third parties process the information on Google’s behalf.

Google will not associate your IP address with any other data held by Google. You may refuse the use of cookies by selecting the appropriate settings on your browser, however please note that if you do this you may not be able to use the full functionality of this website. We publish information on Social Media channels including X/Twitter, LinkedIn, Facebook, Instagram and YouTube.

Anyone may choose to follow these channels and can at anytime unfollow.
